Sample Order Checklist Before the Bulk PO

The sample round is the cheapest disagreement you will ever have with a factory. Once the bulk order is placed and the goods are glazed, packed or engraved, every fix happens at scale and at your expense; at sample stage the same fix costs a conversation. A good sample round does two jobs at once: it verifies the product, and it reveals how the factory behaves when something is imperfect — which, over a long partnership, matters even more. This checklist turns the round into a sequence you can run deliberately instead of surviving.

Order two samples, not one. A catalog sample tells you what the product is; a pre-production sample built with your engraving, packaging and labeling tells you what the factory can do. Approve the second as the golden sample, then have it sealed and split — one half stays with the factory, one half stays with you. Every later quality conversation refers to that object, not to anyone's memory.

The ten-point sample review

Review every sample against the spec sheet and drawing, not against another sample or against a mood. Work through the same ten checks every time so your verdicts stay comparable across suppliers:

Sign-off mechanics that prevent disputes

Approve in writing, with dated photographs, and enumerate any accepted deviations. Seal the golden sample in duplicate with signatures over the joint. State in the PO that bulk goods must match the golden sample for finish, dimensions and packaging, and that third-party inspection will be conducted against it. Agree sample-fee treatment before ordering — in many partnerships the fee is credited against the first bulk order, but that is a matter of agreement, not a law of nature. And keep the calendar honest: sampling sits ahead of production, so your launch date is sampling lead time plus production lead time plus freight, not the last number in a chat thread.

FAQ

Are sample fees refundable?

Practice varies by supplier and by sample type. Many factories credit sample fees against the first bulk order; deep-custom samples with tooling or color work are usually charged regardless. Agree the treatment in writing before ordering.

Can I skip samples for a repeat order?

Only when the golden sample exists, the specification is unchanged and the factory confirms no material or process change. A new packaging configuration still deserves its own check, because the product travels differently in every carton.

What if the bulk goods do not match the sample?

That is precisely what the sealed golden sample and the inspection clause are for. Reference the sample in the PO, inspect against it before shipment, and hold rework or replacement at supplier cost as agreed.

How many sample rounds should I expect?

One to two rounds is typical for catalog items with light personalization; new sculpts, custom molds and color matching take longer. Each additional round should converge — if round two introduces new problems, treat that as a signal about the factory, not just the sample.

十点核对法

核对样品时要对照规格书与图纸,而不是对照另一件样品、更不是对照心情。每次都走同一套十项检查,你对不同供应商的判定才有可比性:

防止扯皮的签认机制

批可必须落纸:附上带日期的照片,逐条列出可接受的偏差。金样一式两份封存,接缝处双方签字。采购单中写明:大货的表面、尺寸与包装须与金样一致,出货前将按金样进行第三方检验。打样费的处理在订样之前谈妥——很多合作关系中这笔费用会在首张大货订单中抵扣,但这是约定俗成的协商结果,不是天经地义。日历也要诚实:打样排在生产之前,所以你的上架日期等于打样周期加生产周期加运输时间,而不是聊天记录里的最后一个数字。

常见问题

打样费能退吗?

各供应商、各样品类型的做法不同。很多工厂会把打样费在首张大货订单中抵扣;涉及模具或对色的深度定制样通常无论如何都要收费。订样之前把处理方式写成文字。

返单可以不打样吗?

只有当金样仍在、规格未变、且工厂确认材料与工艺无变更时才可以。新的包装配置仍需单独核对——因为同一产品在不同箱子里是不同的运输故事。

大货与样品不符怎么办?

这正是封存金样与检验条款存在的意义。在采购单中引用金样,出货前对照金样检验,并按约定把返工或更换费用留在供方。

一般要打几轮样?

轻个性化的目录款一到两轮是常态;新雕塑、开模与对色需要更久。每一轮都应该收敛——如果第二轮冒出新问题,把它当作关于工厂的信号,而不只是关于样品的信号。
